We handle a wide range of processes for maintaining the accurate and standardized article data through SAP system. Our Team utilizes the advanced tools and software, implements standard procedures, maintains quality standards, and efficiently manages and maintains the article data.

Among many processes, Transcoding is one of the processed handled by us. In this process, we identify Würth articles based on the product description and other details such as materials used, specifications, and others. On the basis of Request for Quotation (RFQ) sent by customers, we check if the similar articles already exist. Below is the work flow of this process.

Optimizing Transcoding Process for Improved Article Identification


Introduction:

For efficient article management and procurement, accurate article identification is pivotal. It is also essential for effective operations and customer satisfaction. Würth S.r.l. (Italy) determined the need for the Transcoding process, in which, we identify Würth articles based on product descriptions, materials, specifications, and other details. By cross-referencing Request for Quotation (RFQ) information with existing articles, we aim to streamline procurement and provide seamless customer service.

Problem:

Before transferring the process, our customer faced challenges in efficiently identifying the Würth articles based on various attributes and matching RFQs to existing articles. The customer needed to invest so much of their time and resources to identify the articles. This, in turn, led to delays in responding to its customers and missed opportunities for efficient procurement. This inefficiency hampered the company's ability to provide timely and accurate solutions to customer inquiries.

Solution:

Recognizing the challenges faced by the customer, we implemented the Transcoding process to improve article identification and streamline RFQ matching. The key components of our solution included:

1. Meticulous Article Analysis: We implemented a detailed analysis process to accurately identify Würth articles based on product descriptions, materials, specifications, and other attributes. This manual process involved meticulous attention to detail and careful cross-referencing.

2. RFQ Matching: When customers submitted RFQs, we manually checked whether similar articles already existed in their database. This involved a careful comparison of RFQ details with existing articles to identify potential matches.

Results:

The changes implemented in the manual Transcoding process led to significant improvements for Würth S.r.l. in article identification accuracy and customer service. Key results included:

1. Enhanced Article Identification: By employing a meticulous analysis approach, we achieved an increase in accurate article identification, which, in turn, led to better matching of customer needs with available products.

2. Efficient RFQ Processing: The manual RFQ matching process led to a reduction in errors in responding to customer inquiries. This improved our customer’s responsiveness and helped build trust with customers.

3. Time Savings: Our approach led to significant time savings per month. We saved nearly 146 hours for our customer in a month. This saved time can be utilized for executing different core operations.

Conclusion:

By transferring the Transcoding process, Würth S.r.l. ensured accurate article identification and efficient RFQ processing. By implementing meticulous article analysis and carefully cross-referencing RFQs with existing articles, we successfully improved procurement accuracy, responsiveness, and customer satisfaction. While automation was not involved, the results emphasize the value of a well-executed Transcoding process in maintaining effective product management practices and delivering exceptional customer service.
